Project Manager, Exhibits, Florida

Salary: Based on Experience
Location: Florida
Type: Full-Time On-Site
Position: Project Manager

Emerge XP is partnering with a Florida-based experiential design and fabrication team to hire a Project Manager who loves turning big ideas into real-world builds. This group brings custom exhibits, brand activations, and immersive environments to life—where design, CNC, print/production, warehouse, I&D, and asset management all move in sync.  If you thrive in a fast-moving environment where every week brings a new puzzle, a new brand, and a new build, you’ll feel right at home here.

Responsibilities

  • Lead assigned projects from kickoff through final closeout, ensuring timelines, budgets, and deliverables stay on track
  • Build and manage project plans using project tools (Trello/NetSuite or similar) and keep documentation organized and current

  • Serve as the primary point of contact for clients, providing clear communication, proactive updates, and milestone tracking

  • Drive approvals and decision points, ensuring designs, specs, and production details align before builds move forward

  • Coordinate cross-functional teams including design, CNC fabrication, print/production, warehouse/I&D, and asset management to ensure smooth hand offs

  • Confirm measurements, materials, graphics requirements, hardware, crating, shipping details, and show-site logistics

  • Review drawings, renderings, shop plans, and production files for accuracy and completeness

  • Track costs, labor, materials, and change orders, maintaining clean records and reporting

  • Identify risks early, troubleshoot issues quickly, and keep projects moving when priorities shift

  • Occasionally support install/dismantle efforts and act as a calm on-site liaison when needed

  • Contribute to process improvements and help strengthen how projects are managed across the organization

Requirements

  • 3–5 years of project management experience (trade show, fabrication, events, experiential, or related fields strongly preferred)
  • Microsoft Office proficiency (3+ years) with comfort managing reports, documentation, and project communication

  • Strong organizational and communication skills—clear, consistent, and professional

  • Ability to read or quickly learn technical drawings (CAD/shop drawings)

  • Comfort managing multiple deadlines and shifting priorities without losing control of the details

  • Experience with Trello, NetSuite, or similar PM/ERP tools (a plus)

  • A resourceful, proactive approach to problem-solving

  • A calm presence under pressure and strong follow-through

  • Project Management certification (preferred)
