Emerge XP is supporting an established exhibit, event, and branded environments organization in hiring an Associate Project Manager. This role sits close to the work, supporting projects as they move through kickoff, planning, production, and delivery.
This is a strong fit for someone who understands that project execution depends on clean documentation, timely communication, accurate order entry, organized hand offs, and steady follow through across internal teams, vendors, production, finance, and logistics.
The Associate Project Manager will support senior project leadership while also taking ownership of defined project tasks and, as workload allows, independently managing smaller scale projects. The work requires someone who can keep information moving, track details without losing sight of deadlines, and help bring structure to the daily movement between planning and production.

Responsibilities
- Support established project timelines across kickoff, planning, production, and delivery
- Schedule and track drawing development, production order entry, graphic art transfer, layout needs, vendor coordination, client approvals, shipping, and logistics
- Assist senior project managers with project documentation, task management, and workflow administration
- Use internal systems for work scheduling, order entry, purchasing requests, and job cost reconciliation
- Process and track orders to support on time completion
- Coordinate production documentation, drawings, and updates as project scope changes
- Communicate with production leadership to help make sure the shop floor has accurate and current project information
- Coordinate with finance to confirm required payments are received prior to shipment
- Participate in project kickoff meetings and contribute to clear internal hand offs
- Support margin, completion date, and quality goals through organized project administration
- Help identify gaps, delays, missing information, or timing concerns before they impact production or delivery
- Take on additional project related responsibilities as needed
Requirements
- 3-5 years of experience in project coordination, project administration, or a related project support role
- Trade show, events, exhibit, construction, fabrication, manufacturing, or production environment experience preferred
- Strong organizational skills with a high level of attention to detail
- Comfortable managing documentation, timelines, order tracking, approvals, and project follow-up
- Ability to shift priorities based on urgent and time sensitive project needs
- Proficiency with Microsoft Office, including Excel and Word
- Ability to learn and work within internal project, scheduling, purchasing, and order entry systems
- Clear communication skills across project management, production, vendors, finance, and internal stakeholders
- Strong follow through with the ability to keep tasks moving without constant direction
- Comfortable supporting multiple active projects and deadlines
